Health information. We don’t need patient information or other health information to do our work, and we ask that you don’t send us any through our forms, by email or in a message. If you give us access to marketing accounts or systems that contain patient data, we only access what we need to deliver the work you have asked for, we keep it confidential and we don’t use it for any other purpose. If you send us health information by mistake, please tell us and we will delete it.
How we collect it
We collect most information directly from you, for example when you fill in a form on our website, email or call us, or meet with us. We also collect some information automatically through cookies, analytics tools and server logs when you browse our website. Sometimes we collect information from publicly available sources, such as a practice’s own website, its Google listing or the public registers of health regulators, when we prepare an audit or proposal for you.
Our website forms
Our enquiry, free audit and newsletter forms send your details to us by email and store them in our website’s database, so we can respond and keep a record of your request. We only collect what you type into the form. We use it to reply to you, follow up on your enquiry and, if you ask us to, add you to our emails.

We use your personal information to:

Cookies, analytics and third-party services
- Google Analytics. We use Google Analytics, through the Google Site Kit plugin, to understand how visitors use our website. It uses cookies and similar technologies to collect information such as pages viewed, device type and an approximate location based on your IP address. Google may process this information in the United States and other countries. You can control cookies in your browser settings, or install the Google Analytics opt-out browser add-on. Google’s own policy is at policies.google.com/privacy.
- Fonts and scripts from other providers. Our website loads some fonts and scripts from third-party services, such as Google Fonts and a content delivery network. When your browser loads them, the provider may receive your IP address and browser details.
- Delivery and security services. We use services that help deliver and protect our website, such as DNS and security providers.
- No advertising pixels. We don’t currently use advertising or retargeting pixels on this website. If we add them, we will update this policy first.
Direct marketing
We only send marketing emails or messages to people who have asked for them, or who have an existing relationship with us and would reasonably expect them. Every message includes an unsubscribe option, and you can also opt out at any time by contacting us. We handle this in line with the Spam Act 2003 (Cth).
Who we share it with
We don’t sell your personal information. We share it only where we need to, with:
- service providers who help us run our business, such as website hosting and backups, email delivery, analytics, and form and website software
- Caffeinated Marketing, which we are part of, where that is needed to run the business
- professional advisers, such as accountants and lawyers
- regulators, courts or law enforcement where the law requires or permits it
These providers only receive what they need to do their job. Some of them, including Google, process or store information outside Australia, including in the United States. When that happens, we take reasonable steps to make sure your information is protected.
Storage, security and retention
We take reasonable steps to protect your personal information from misuse, interference, loss and unauthorised access. Those steps include secure hosting, access controls, password protection and regular backups. No system is completely secure, but we work to keep ours that way. We keep personal information only for as long as we need it for the purposes in this policy, or as the law requires. When we no longer need it, we delete it or de-identify it.
Data breaches
If we suspect or discover a data breach that is likely to result in serious harm, we will assess it promptly and, where required, notify affected people and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.
Job applicants
If you apply for a job with us, we use your application to assess your suitability and to contact you about the role. We may contact your referees with your permission. We keep applications for as long as we need them for recruitment, and then delete or de-identify them.
Accessing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We may need to confirm your identity first. We will respond within a reasonable time, normally within 30 days. In limited circumstances the law allows us to refuse a request, and if we do we will explain why.
Complaints
If you have a concern about how we have handled your personal information, please contact us first and we will do our best to resolve it. We aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
